How Much Coffee Does a Café Actually Use?

There is no useful universal answer to how many pounds of coffee a café uses. A 100-transaction shop built around espresso drinks behaves differently from a 100-transaction shop selling mostly food and batch coffee. The useful answer comes from the menu, recipe, volume, waste, and operating days.

Start with Espresso Dose

If a café uses a 20g espresso dose, each double-shot drink consumes 20g of coffee before waste. One pound contains about 454g, so a theoretical pound provides roughly 22.7 twenty-gram doses. Real-world yield is lower because of dialing in, purging, mistakes, staff training, and waste.

A Simple Espresso Example

At 50 espresso drinks per day using a 20g dose, the theoretical requirement is 1,000g, or about 2.2 lb per day. At 100 drinks, it is about 4.4 lb. At 250 drinks, about 11 lb. Multiply by operating days, then add a realistic waste allowance rather than pretending every gram becomes a sale.

Add Batch Brew Separately

Calculate brewed coffee from the actual recipe. If a batch uses 200g of coffee and the café brews six batches per day, that is another 1,200g—or about 2.6 lb—before waste. Track what is brewed and what is discarded so batch pars reflect demand rather than habit.

Do Not Forget Secondary Coffees

Decaf, single-origin espresso, cold brew, pour-over, retail bags, and staff drinks should be tracked separately. Low-volume coffees can create disproportionate waste when minimum batch sizes or open bags are not managed carefully.

Set Pars Around Delivery Cadence

A good par should cover expected use until the next reliable delivery plus a reasonable safety margin. Too little inventory creates emergency orders and menu outages. Too much inventory ties up cash and allows roasted coffee to age unnecessarily.

Use Actual Data After Opening

Forecasts get you started. POS mix, grinder usage, batch logs, waste, and weekly inventory tell you what the business really consumes. Recalculate pars as volume and seasonality change.
